1. Introduction

We take your privacy, data security, and trust seriously. Able is compliant with Australian, UK and EU privacy regulations. We are also happy to comply with them if requested eg. a data destruction requests etc.

2. What data we collect & hold

We collect and process Personal Information and, in some cases, Sensitive Information (e.g. feedback, assessments, health or wellbeing data) obtained through:

  • Your direct input (forms, surveys, feedback, profile data, coaching inputs)

  • Interactions with our platform (usage data, login history, activity, preferences)

  • Third-party integrations or services (e.g. calendar systems, email, Zoom, Microsoft)

  • Automated tools like cookies or analytics to understand site/app usage

We aim to collect only what is necessary for the services you request.


3. How we use data

Data is used for multiple purposes, including:

  • Delivering our services (coaching, learning modules, feedback, reports)

  • Generating recommendations, nudges, and insights

  • Communication: sending emails, reminders, notifications

  • Operational and administrative tasks (accounting, billing, support)

  • Research, improvement, and analytics (often using anonymised or aggregated data)

  • With your consent, optionally sharing data with third parties (e.g. your employer, coach, service providers)


4. Security & storage

  • We store data securely in Microsoft Azure in Australia (or as otherwise specified in our agreements).

  • We use technical and organisational safeguards to protect against unauthorized access, loss, or misuse (e.g. encryption, access controls, staff training, audit logs).

5. Sharing & disclosure

We may share your data with:

  • People or entities necessary to deliver the service (coaches, connected software providers)

  • Vendors or service providers (e.g. hosting, analytics, payment processors)

  • Legal or regulatory bodies when required (e.g. for compliance, courts)

  • In aggregated / anonymised form for research or reporting

We only provide external parties with the minimum necessary information, and only under agreements that require them to protect the data in line with privacy laws.


6. International / cross-border transfers

Where data is transferred outside Australia (or outside your home jurisdiction), we apply safeguards (e.g. contractual obligations, data protection measures) to ensure your data remains protected in line with applicable privacy laws (such as the GDPR or the Australian Privacy Act).


7. Your rights & choices

You have rights over your personal data, including:

  • Access or request a copy

  • Rectification (correcting errors)

  • Deletion (erasure)

  • Restricting or objecting to processing

  • Portability (getting your data in a structured format)

  • Withdrawing consent (for uses based on consent)

You can also control what features or sharing you allow (e.g. whether your data is shared with your employer or coach).

8. Automated / AI processing & coaching

Because Able uses AI-driven coaching features and recommendation engines, we:

  • Only send the data needed into the AI system

  • Apply privacy, pseudonymisation or masking techniques where possible

  • Maintain transparency about how those AI outputs are generated and, where applicable, provide human oversight

  • Keep logs, review and audit the AI components continually to check for bias, errors or security issues

If you are subject to GDPR, you are entitled to greater transparency and safeguards around profiling / automated decision making.


9. Changes & updates

We may update our policies or practices over time. When we do:

  • We’ll post the updated Privacy Policy, Terms or Security statements publicly

  • We’ll indicate the “Last updated” date

  • We may notify you (by email or in-app notice) if changes are material

We encourage you to review these documents periodically.


10. Contact & support

If you have any questions, requests, or concerns about your privacy or data:

  • Reach out via our support channels (email, in-app contact)

  • In your request, include enough detail so we can identify your account but do not include sensitive data in your request

  • We may need identity verification before fulfilling your request

You also have the right to lodge a complaint with the relevant privacy authority (for example, the OAIC in Australia, or the Information Commissioner in the UK/EU) if you believe your rights under applicable law have been breached.
