How to sync your calendars and setup automated session scheduling for your coaching programs.

Able integrates directly with your calendars to make coaching session scheduling and reminders seamless and automated. This ensures your programs are delivered in the right sequence and a timely manner, freeing you to focus on delivering outcomes for your clients and growing your business.

About Calendly

Able uses Calendly.com to sync with your personal calendar/s so that Able can provide automated session scheduling for you and your coaching participants. Since Calendly doesn’t allow automatic provisioning, there are a few one-time steps required to get your Calendly account connected with Able. The Calendly account provided by us is included in your Practitioner plan and won't cost you anything.

Prior to launching your first coaching program we will need to set you up with a Calendly account and have you login to Calendly to connect your calendars.

Follow this guide to complete the setup.

How to Connect Calendly with Able


Step 1. Accept Your Calendly Invite

When your Able account is created, our team will send you a Calendly invite.

  • Open the invite email from Calendly.

  • Click “Accept Invitation”.

  • Log in or create your Calendly account.

Step 2. Sync Your Calendars in Calendly

Once logged in to Calendly it will automatically setup the calendar connected with the email you signed up on.

Additional Calendars

After you complete this stage you should connect any other active calendars you use to Calendly so Able knows all the different times you are busy.

  1. Go to Availability → Calendar Settings → Calendars to check for conflicts.

  2. Connect your Calendar Accounts (eg. Google, Outlook, iCloud, or Office 365) to Calendly to prevent double bookings.

  3. Grant permissions so Calendly can read availability and add booked sessions.

  4. Select the "Calendar to add events to". This is the calendar the bookings from Able will automatically go into.

  5. Go to "Schedules" and set your working hours and block out times you’re busy, particularly activities that may not be events in any of your calendars to ensure sessions scheduled through Able won’t overlap with your existing commitments that aren't shown in your calendars ie. family dinners.

Step 3. Confirm Your Calendly Slugs (Event Types)

We’ll set up a set of standard event types (slugs) for you in Calendly (e.g., 45-min, 60-min and 90-min coaching sessions etc).

  • Open your Calendly dashboard.

  • You should see these event types ready to use.

  • If you don’t see them, please let our support team know.

Step 4. Copy Your Calendly Link

Once your account is set up and synced:

  1. Go to your Calendly dashboard.

  2. Click “Share” next to your coaching session event type.

  3. Copy the [your-name] section of your Calendly Url e.g. https://calendly.com/your-name/session.

Step 5. Add Your Link to Able

Finally, return to your Able account:

  1. Open the Profile page → My Profile Calendar → Calendly Url Name.

  2. Paste the [your-name] section of your Calendly URL into the calendar link field as shown in the screenshot below.

  3. Scroll to the bottom of the page and click "Update Details".

Now, your coaching sessions can be booked directly through Able, with automated scheduling and reminders. 🙌

Manage busy and free periods in your calendars


To ensure that Calendly displays your calendar availability correctly review your events, especially recurring events, in your calendar/s (eg. Outlook, Exchange, Apple or Google Calendar) to see they are set correctly to 'Busy' or 'Free' etc.

To review your calendar events in Outlook or Google Calendar etc.

  1. Select Edit and More options for the event/s.

  2. Select the Busy, Free, Working elsewhere, Tentative, or Away/Out of office dropdown and choose your status.

By default, Calendly marks calendars as unavailable for events marked as Busy, Tentative, Away/Out of office, and Working elsewhere. If your event status is set to Working elsewhere, Calendly will read you as available.

💡In the "What's considered unavailable?" dropdown in your Calendly Calendar settings, you can choose how you'd like Calendly to read the statuses you set in your calendar. To check this setting go to Calendly → Availability → Calendar settings → "Calendars to check for conflicts" and select the specific calendar, you'll then see the "What's considered unavailable?" option.

Other Tips


Coaching sessions are automatically sent by Able into your calendar and accepted by your calendar. This can lead to double bookings or un-intended conflicts if you don't mange your calendar well. To avoid this we recommend:

  • Reduce the number of calendars you use in your life to minimize complexity.

  • Connect all your active calendars in Calendly so Able knows all the different times you're busy, eg. if you have a personal family calendar and put an event in that calendar but haven't connected that calendar to Calendly Able won't understand you're not available.

  • Keep you calendar/s up to date with regular check ins.

  • Limit your availability both in Calendly and your calendars to avoid finding sessions at all hours. Go to Calendly → Availability → Schedules to do this.

  • Batch your coaching availability to specific days in Calendly eg. Mondays, Tuesdays and Thursdays between 10-4pm. Go to Calendly → Availability → Schedules to do this.

  • Remember to block out activities like holidays, school pickups and days off to avoid finding yourself on a coaching call while holidaying at the beach. Do this in your own calendar.
